Communication and Customer Service Assistant

Background

UCI is the largest publicly listed social impact investment company in Palestine. Our flagship project, TABO, focuses on expanding property rights in the West Bank by creating new title deed one dunum parcels of land made available to Palestinians worldwide at affordable prices. The Communications and Customer Service Assistant reports directly to the Communications and Customer Care Manager, and shall work in the UCI office in Ramallah. Duties and Responsibilities:

Content Development:

  • Write social media and website content, in addition to any other online or offline platforms.
  • Write content, including images and videos, that will grow awareness of to the brand of UCI and its projects, and will drive customers to engage in the company’s websites, projects and social media platforms in both Arabic and English.
  • Work with UCI graphics team to suggest images/videos/designs that best fit with content in the designed e-flyers, e-brochures, promotional ads, and posts, …etc.
  • Photographing construction sites and/or company lands for marketing usage.
  • Assist in various communications, outreach projects and activities and other duties as assigned.

Sales Representative

The Sales Representative reports directly to the COO and shall work in the UCI office in Ramallah. We are looking for someone who enjoys dealing with people from various backgrounds, someone energetic with a can-do-attitude and high level of responsibility and commitment to meeting monthly and annual sales targets. Duties and Responsibilities

  • Participate in the sale of various types of real-estate.
  • Generate leads, market, and sell UCI’s real-estate products.
  • Achieve aggressive monthly and annual sales targets from institutions.  
  • Make direct telephone calls and in-person visits and presentations to existing and prospective customers and institutions.
  • Develop relationships with existing and new clients, understand their needs, and advise them on available real-estate.
  • Follow the instructions set out in UCI’s Sales Manuals and adhere to UCI’s sales policies.
  • Present financing options and follow up with customers and institutions.
  • Participate in the implementation of the local sales strategy and a remote selling strategy for individuals, institutions and/or business.
  • Participate in developing new marketing ideas, with the support of the marketing team, to generate leads in Palestine.
  • Prepare progress reports weekly, quarterly and annually, as requested.
  • Assist in developing and implementing the sales plan, aiming to maximize annual sales targets and expand customer base in Palestine.
  • Assist in setting key performance indicators and delivery plans for Palestine sales growth.
  • Identify strategic sales opportunities and partnerships in Palestine and prepare plans to access them.
  • Conducting presentations for existing and potential customers, including individual and group presentations.
  • Setting appointments and field visits with customers for the main master plans of TABO and Al -Masyoun Gardens apartments.
  • Providing after-sale services, including collecting financial payments from customers, and answering the customers’ inquiries and following up the delivery of real estate to customers with the aim of achieving the highest level of customer satisfaction.

Requirements

  • Bachelor’s degree in business/ marketing or any related field.
  • At least 3 years of proven sales experience including meeting sales targets..

Junior Accountant

Duties and Responsibilities:

  • Prepare cheques and transfers, and make sure that all processes are accurate and conforming to standards and transparency terms of UCI before being cashed to the banks.
  • Periodical visits to the banks to manage our daily transactions.
  • Prepare and record all journal entries through either accounting systems or manually in order to make sure that they are recorded and directed.
  • Prepare and record periodical adjusting entries.
  • Assist in supervising shareholders’ records and dividends payments, and do the needed preparations for the GA meetings.
  • Supervise the company inventories and warehouses and arrange aggregation of total assets periodically.
  • Handle local and international customers’ payments and collection.
  • Collection of all due amounts and bounced cheques from the company’s customers, and communicate with them and prepare their periodic statements.
  • Participate in preparing bank reconciliations procedures of UCI bank accounts under observation of the direct supervisor.
  • Responsible for the Accounting Dept. archives section along with documenting all the necessary supporting data into files each according to their field.
  • Review suppliers’ and customers’ records and match them with their balances and prepare settlements for those accounts.
  •  Observe and follow up with the Value Added Tax (VAT) Dept. and prepare monthly periodical statements.
  • Prepare any internal or external reports.
  • Coordinate with external auditors and facilitating their job through preparing the needed documents for auditing the company’s financial statements.

The Creative Content Creator reports directly to the IT & Marketing Manager, and shall work in the UCI office in Ramallah. Duties and Responsibilities

Planning & campaigning

  • Plan and write campaign communication strategies including key messages that guarantee large scale engagement from target groups.
  • Be the expert on the benefits of UCI and TABO product portfolio and have a firm grasp of the UCI voice, narrative, and audience needs.
  • Create, plan and execute regular content calendar proposals.

Content creation

  • Concept, write, and edit in Arabic and English to serve the UCI digital and direct sales activities, including: presentations, brochures, flyers, emails, landing pages, banners, blogs, e-publications, e-brochures, e-newsletters, site pages, video scripts, products, etc.
  • Create content, including images and videos, that will grow awareness of to the brand of UCI and its projects, and will drive customers to engage in the company’s websites, projects and social media platforms in both Arabic and English.
  • Strategically maintain an inventory of available content, in Arabic and English, and ensure all materials accurately reflect our brand, product, and customers.
  • Identify new creative methods to deliver content in a way that maximizes value, viewership and client engagement.

  • Daily management of UCI’s digital channels and respond to customer inquiries in a "social" manner while gaining leads.
  • Pitching promotional ideas and arranging with bloggers/ influencers to promote UCI’s product and create promotional partnerships

  • Manage an active schedule of field visits to the project sites to get updated photos and videos on a regular basis.
  • Ensure timely uploading of content on the website to keep the website up to date and work with the marketing team on upgrades as required.  

Client and industry needs

  • Develop a deep understanding of industry trends and client needs.
  • Understand prospect main needs, by working closely with the sales team, and effectively incorporate these into sales enablement pieces.
  • Create and manage an active media contact list of local, regional and international media outlets including written and digital.

Data analysis and trends

  • Analyze and report on the performance of digital channels/activities using Google Analytics.
  • Create systems for analyzing and reporting on the performance of content used for direct sales.

REQUIREMENTS

  • Must be able to envision and implement an integrated campaign from soup to nuts.
  • Have a Bachelor’s degree in English, Business Administration, Public Relations, Marketing, Psychology, or any other related filed. An equivalent of this requirement in working experience is acceptable.
  • Have substantial experience in proofreading, content layout, production, and audience engagement measurement concepts.
  • Have vast experience in the use of and navigation of key social media platforms, for example, Twitter, Facebook, LinkedIn, YouTube, and Instagram.

Administrative Manager

Background

The Administration manager reports directly to Chief Operations Officer (COO), and shall lead the UCI administrative department and plan the most efficient administrative procedures. They will directly manage the admin team and work in collaboration with the larger UCI team. Externally, the administrative manager will work with all relevant stakeholders, partners, consultants, suppliers, contractors, as designated by the COO.

Duties and Responsibilities

Strategy and planning

  • Develop, review, and improve administrative and human resource systems, policies, and procedures and devise ways to streamline processes.
  • Work closely with the COO to execute the company’s human resource and talent strategy particularly as it relates to current and future talent needs, recruiting, retention, and succession planning.
  • Assist the COO in the process of preparing annual plans, budgets and performance indicators, and lead those for their own department. 

Administration:

  • Conduct annual and ad-hoc inventory of assets.
  • Coordinate car use and ensure car logs are completed and compared with the GPS system.
  • Ensure efficient functionality, updates and enhancements on the admin & HR automated systems.
  • Prepare admin & HR internal and external communications & documents in English and Arabic.
  • Prepare, review, update and supervise admin & HR contracts with external service providers. 
  • Supervise all legal processing relating to the department’s scope. 
  • Oversee special projects and track progress towards set goals.
  • Work inter-departmentally to set budgets, monitor spending, and process payroll and other expenses.
  • Manage employment, internship, and consultancy processes and prepare agreements.
  • Ensure that all equipment is working and properly maintained.
  • Line manages the admin team and supervise the day-to-day operations.
  • Manage external party service contracts within department scope and ensure proper quality control.

Procurement:

  • Prepare, develop and implement annual procurement plans.
  • Monitor inventory of office supplies and ensure that office is equipped with necessary stationary, supplies and equipment in a timely manner. 
  • Purchase of products and services at optimal point between quality and cost.
  • Manage suppliers and maintain their data, comparisons and evaluation on record.
  • Process procurement requests and prepare purchase and supply orders.

Human Resource

  • Supervise preparation and update of job descriptions, job ads, job offers, and contracts.
  • Supervise HR routine tasks (e.g. staff attendance, absences and leaves, monthly payroll … etc.)
  • Coordinate employment procedures, and manage recruitment and on-boarding process for new hires.
  • Providing the necessary data to the finance team for payroll requirements
  • Assist with the performance management and review processes.
  • Provides support and guidance to HR generalists, management, and other staff when complex, specialized, and sensitive questions and issues arise.
  • Follow-up of working hours, breaks and vacations, reviewing and checking monthly attendance and timesheets and submit to the COO.
  • Manage employees’ health insurance.

Money management:

  • Prepare the monthly payment requests and supporting documents for processing at the finance department.
  • Prepare annual financial budgets, necessary to cover office expenses and other operational costs.
  • Consult with department managers to make sure budget proposals are met.
  • Create financial worksheets that outline expected costs for supplies, contracts and equipment for each department.

Hygiene, safety and security:

  • Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards.
  • Manages the maintenance and repair of machinery, equipment, and electrical and mechanical systems.
  • Establish and manage monitoring systems to keep high standard in cleaning, hygiene, safety and security.
